XOFFICERS Pty Ltd (ABN: 75 698 697 317) (“XOFFICERS”, “we”, “us”, “our”) is committed to protecting the privacy of individuals who visit our website and engage with our services. This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who We Are
XOFFICERS Pty Ltd is an execution leadership firm incorporated in Queensland, Australia.
We deliver diagnostic and facilitation services to leadership teams through three instruments: XCLARITAS™ (Understand), XIMPETUS™ (Adapt and Respond), and XSUPERARE™ (Overcome).
XOFFICERS™ is also a pending trademark name.
Our registered office is in Australia. All services are governed by Australian law.

2. Information We Collect
2.1 Website visitors
When you visit xofficers.com, we may collect:

Usage data: pages visited, time on page, referring URL, browser type, and device type. This data is collected automatically via HubSpot analytics and does not identify you personally.

Contact information: if you submit a contact form or book a conversation, we collect your name, email address, organisation, and any message you provide.

2.2 Diagnostic instrument respondents
XOFFICERS administers diagnostic instruments to leadership teams as part of our facilitation services. These instruments are delivered via Microsoft Forms on the XOFFICERS Microsoft 365 tenant.
When you complete a diagnostic instrument, we collect:

Your responses to the instrument statements (numerical ratings on a 1–5 scale).

Your role category (XOFFICERS, Executive team member, or Non-Exec / Governance) as selected from the role switch question.

The priority or engagement context provided in the form.
We do not collect your name, email address, or any other personally identifying information when you complete a diagnostic instrument. Responses are anonymous by design. The Microsoft Forms “Record name” setting is disabled on all XOFFICERS instruments.
Instrument responses are accessible only to the XOFFICERS Client Principal and Facilitation Principal assigned to your organisation’s engagement. They are not shared with any other client, engagement, or third party.
2.3 Principals and prospective clients
When you engage with XOFFICERS as a prospective client, current client, or in any professional capacity, we may collect your name, email address, organisation, role title, and communications history. This information is stored in our CRM (HubSpot) and used solely for the purpose of managing our professional relationship.
3. How We Use Your Information
We use personal information only for the purpose for which it was collected:

Website enquiries and contact form submissions: to respond to your enquiry and follow up as requested.

Diagnostic instrument responses: to score, analyse, and present findings in your organisation’s facilitated session. Responses are never used for any other purpose.

CRM data: to manage our client relationships, send relevant communications, and administer our services.

Analytics data: to improve the xofficers.com website.
We do not use personal information for direct marketing without your consent. We do not sell, rent, or trade personal information to any third party.
4. Disclosure of Personal Information
We disclose personal information only in the following circumstances:

To XOFFICERS principals assigned to your engagement, as necessary to deliver the facilitation service.

To our technology service providers (Microsoft, HubSpot) as data processors, for the purpose of storing and processing data on our behalf. These providers are bound by their own privacy and security commitments.

Where required or authorised by law.
We do not share diagnostic instrument data with any party outside the XOFFICERS principals assigned to your engagement. Data from one engagement is never shared with or used to inform another engagement.
5. Data Storage and Security
Diagnostic instrument data is stored in the XOFFICERS Microsoft 365 tenant. Microsoft stores data in Australian or Asia-Pacific data centres under their enterprise privacy commitments. For Microsoft’s privacy policy, visit microsoft.com/en-au/trust-center/privacy.
Contact and CRM data is stored in HubSpot. For HubSpot’s privacy policy, visit legal.hubspot.com/privacy-policy.
We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification, or disclosure. Access to diagnostic instrument data is restricted to named XOFFICERS principals on a per-engagement basis.
6. Data Retention
We retain personal information only for as long as necessary for the purpose for which it was collected:

Diagnostic instrument responses: deleted from the XOFFICERS Microsoft 365 tenant within 90 days of the facilitated session delivery date, unless you have agreed in writing to a longer retention period for follow-up purposes.

Contact and CRM data: retained for the duration of our professional relationship and for a reasonable period thereafter, consistent with our legal obligations.

Website analytics data: retained in accordance with HubSpot’s standard retention policies.
7. Cookies
xofficers.com uses cookies for website functionality and analytics. Cookies are small files stored on your device. We use:

Essential cookies: required for the website to function. Cannot be disabled.

Analytics cookies: used by HubSpot to understand how visitors use the site. You may opt out by disabling cookies in your browser settings or using a browser extension such as uBlock Origin.
